5 tips that make setting up email automation simpler |
|
| Setting up an email flow is a quicker process if you’ve already fleshed out your email marketing strategy. So, before getting into technical details, determine the kind of email flows you’d like to send, design an email layout, and finalize the email copies. Usually, a welcome sequence is a must in both B2B and B2C spaces, and it’s also the simplest. Later, you could automate other flows depending on the nature of your business. But the key is to start with simple flows that require 5-6 emails. Some flows that you could also send to the same email list are -
- Product updates
- Special offers
- Educational content
- Feedback forms
- Milestones or special announcements
- Greetings for special occasions

2. Identify the customer touchpoints and behaviors to trigger flows | The best way to do it is to create a visual map of the journey from the user’s POV and then determine the message that would suit them and the ideal time gap between different emails in the flow. For example, once your global trigger is set for the entire email list (let’s say welcome email to those who sign up), you may trigger the remaining emails based on the receiver's response or action. Below is a list of a few triggers that could help you segment your list further and send the right emails - - Add conditional triggers based on who opened, replied to, or submitted a response to your email.
- Add an event-based trigger to automate emails based on platform activity or special occasions.
- Send emails on specific dates or after a given number of hours/days for different contacts.

3. Import platform data for automation |

The next step is to sync your platform/CRM with your ESP or manually import the user data for starting the email flow. Most ESPs offer integration with leading platforms with quick steps or you could also use an API to transfer data. |

4. Test your email flow After creating all the assets you need, you need to run a test to understand if you’ve uploaded the right contacts and information. Similarly, an A/B test could also help you find out the most preferred time, content, and subject lines for your email flows. A quick tip: First send the flow to a handful of your colleagues. It will help you in getting honest reviews before you send them out to your list and will also warm up your domain. 💯

5. Measure the performance Unlike standalone emails, email flows require relative measurement with respect to every single email that is part of the flow. You need to measure the flow where subscribers are dropping off, understand if email opens are dipping, and optimize the flow if it’s not performing as you had expected. Most ESPs have their reporting and analytics dashboards that can help you keep track of every metric.
